Looking for a new administrative role where no two days are the same? ProSearch is hiring a Temp-to-Hire Administrative Assistant on behalf of an innovative and progressive healthcare organization in Portland, Maine. In this role, you’ll follow a hybrid schedule and handle a mix of billing support, office coordination, and general admin tasks. You'll help keep things organized, follow multi-step processes, and jump in where needed.

Administrative and Office Support

  • Order office supplies and help maintain organized workspaces
  • Assist with operational needs and day-to-day workflow
  • Process records requests and releases according to internal policy and with necessary approvals
  • Collaborate with intake, billing, and leadership teams to support general practice operations
  • Coordinate communication with clients regarding billing issues, payments, and monthly statements
  • Respond to client inquiries and provide receipts or documentation as needed
  • Help resolve claims and payment issues
  • Communicate with insurance providers to resolve claims, payment denials, or verification delays
  • Complete insurance verifications for new and existing clients
  • Maintain accurate documentation and follow internal procedures

What We’re Looking For

  • Experience in an administrative assistant, office support, or billing role
  • Familiarity with data entry or invoicing is a plus
  • Comfortable using Google Workspace (Gmail, Docs, Sheets) or similar tools
  • Strong attention to detail and the ability to work through multi-step processes
  • Excellent customer service and communication skills
  • A team-oriented mindset - you’re the type who sees a need and steps up to help
